Privacy Policy

This policy explains what Crewmint AI collects, why, and who processes it. Crewmint AI is run by Arneil Arenal (“we”, “us”), who is responsible for your information. We never sell it.
What we collect
- Your account: your email address, and your name and settings if you add them in Settings. Sign-in codes are stored only in a form that can't be read back, and expire after 10 minutes.
- Your AI employees: their names, jobs, descriptions, the rules and rules files you write for them, and their settings.
- Your chats: every message and reply, the steps your employees take, your approvals and answers, and the files you attach.
- What your employees keep: the files they save and their earlier versions, their memory notes, and what they learned from you.
- Accounts you connect: each connector's address and its key or sign-in token, which we store encrypted.
- Scheduled tasks and their recent runs, and the credits used per chat, employee and month.
- Activity records: the steps your employees take (the tools they use, approvals, errors and the cost of each reply), with short summaries that can include commands, file names, web addresses and search words. Your messages and the employees' replies are not in them. They are shown and used for 14 days.
How we use it
Only to run Crewmint AI for you: to sign you in, run your employees, keep your chats and files, count credits, send the emails described below, keep the service secure, and answer you when you write to us.
Who processes your chats and files
- Anthropic runs the AI your employees work with (Claude). Everything an employee works with is sent to Anthropic to be processed: your messages and attached files, its rules, memory notes and what it learned, your name if you added one, your other employees' rules and notes when it can hand them work, and the files, web pages and connected-account results it reads. Your email address is not sent. Web searches your employees make are run by Anthropic.
- Another provider of Claude, only if we switch a chat to one instead of Anthropic: that chat then goes to that provider. If we do this for your chats, we will name the provider here first.
- OpenAI or Google (Gemini), only if we add their models as helpers: an employee can then send one of them a question, which can include parts of your chat. It asks you first, unless you let it work on its own.
- Vercel hosts Crewmint AI in Singapore and keeps standard request logs. It also runs each of your employees' working computers (Vercel Sandbox, in Singapore): an employee's files, the programs it runs and its conversations are there while it works, and a saved copy of that computer is kept for 30 days after the employee was last used. Vercel's network adds our Claude key and your connected accounts' keys to an employee's requests on their way out.
- Supabase stores our database and files in Singapore: your account, employees, chats, files, memory notes, usage and settings.
- Resend sends our emails: your sign-in codes and, unless you turn them off in Settings, scheduled-task emails, which can include up to about 1,500 characters of your employee's last reply.
- Google, only if you connect Gmail, Google Calendar or Google Drive: your employees read them, and write Gmail drafts, through Google with your sign-in.
- Other accounts you connect (for example GitHub, Slack, Notion, or one you add yourself): when an employee uses one, what it sends goes to that service, under that service's own terms.
- Websites your employees read: an employee that may read web pages visits them from its working computer, so those sites see the visit.
- Your browser's speech service: if you use the microphone button, your browser turns your speech into text; in Chrome, the audio goes to Google's speech service.
Your information may be processed outside the country you live in, including in Singapore and wherever these providers operate.
Who can see your information
Your chats, employees and files are shown only in your own account. A file you share by link can be opened by anyone with the link, until you switch the link off.
Our admin screens show every account's activity records and credit use, with its email address. There is no admin screen for your chats or files, but they are in our database and storage, which we can reach.
Cookies and your browser
Crewmint AI sets one cookie, to keep you signed in, for up to 30 days or until you log out. Your browser also keeps the language you chose for the microphone, and, briefly, a message you are copying into a new chat. We use no advertising or analytics cookies.
How long we keep it
We keep your account, employees, chats, files, memory notes and settings while your account exists. Activity records are shown and used for 14 days, and sign-in codes work for 10 minutes. After that they are no longer shown or used, though they can stay in our database, unused, until it is next cleaned out. The saved copy of an employee's working computer is kept for 30 days after that employee was last used.
Your choices and rights
You can delete your employees' memory notes and what they learned, remove connected accounts and scheduled tasks, switch off share links and run links, and change your name in Settings. Crewmint AI has no button yet to delete your account, a chat or an employee: write to support@verixdigital.com to have them deleted, or to get a copy of your information or correct it. We will respond within 30 days. Depending on where you live, you may also have the right to complain to your local data protection authority.
Children
Crewmint AI is only for people 18 or older. If you believe someone under 18 has given us their information, write to support@verixdigital.com and we will delete it.
Changes to this policy
If we change this policy, we will post the new version here with a new date.
